WHO YOU’LL WORK WITH
You'll join a collaborative team of Manager Assistants supporting Bain’s leadership in Brazil. Working closely with Partners, Directors, and other senior leaders, you'll also collaborate with teams across Recruiting, Marketing, Finance, HR, and other business functions to help ensure the smooth day-to-day operation of the office.
WHERE YOU’LL FIT WITHIN THE TEAM
As a Manager Assistant, you will provide high-quality executive and administrative support to multiple senior leaders. You will play a key role in helping executives manage competing priorities, coordinating complex schedules, organizing travel, facilitating communications, and supporting a variety of operational activities. Success in this role requires exceptional organization, sound judgment, discretion, and a proactive approach to anticipating business needs.
WHAT YOU’LL DO
- Manage complex calendars, proactively identifying and resolving scheduling conflicts
- Coordinate internal and external meetings, conference calls, and virtual meetings across multiple time zones
- Organize domestic and international travel, including flights, hotels, ground transportation, and travel documentation
- Prepare, submit, and track expense reports and time entries using internal systems
- Monitor action items and follow up on outstanding commitments and ongoing activities
- Serve as a key point of coordination between executives and internal business functions, including Recruiting, Finance, Marketing, and HR
- Support the preparation of documentation required for international travel, including visas and passports
- Assist with planning internal meetings, team events, and office activities
- Partner with other Manager Assistants to provide coverage and ensure seamless support across the leadership team
ABOUT YOU
Must Have:
- Bachelor's degree completed
- 3+ years of experience in executive assistance, administrative support, or similar roles
- Advanced English proficiency, with confidence communicating in an international business environment
- Proficiency in Microsoft Office, including Outlook, Excel, PowerPoint, and Word
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Excellent interpersonal and communication skills
- High level of discretion and professionalism when handling confidential information
- Proactive, resourceful, and solution-oriented mindset
Nice to Have:
- Spanish language skills
- Experience supporting multiple senior stakeholders simultaneously
- Experience in consulting, professional services, or other fast-paced corporate environments
WORKING MODEL
This role follows a hybrid model, requiring in-office presence at least 3 days per week.
