WHO YOU'LL WORK WITH
A key member of the Chicago Staffing team, this role supports Program Management operations across consulting cohorts, driving performance management, promotions, and talent processes.
WHERE YOU’LL FIT WITHIN THE TEAM
This individual partners closely with Program Management, Office Heads, HR, and local operations and reports into the Manager, Consulting Programs who oversees all team operations. This role plays a critical part in ensuring smooth talent operations and a high-quality experience for consulting staff across the Chicago office.
WHAT YOU’LL DO
Key responsibilities for this role include:
Performance Management Process
- Manage on-going cadence of case reviews from trigger through delivery
- Manage overdue review escalation and fines/rewards process, involving program management and office leadership as necessary
- Collaborate with relevant stakeholders to ensure consistent data is used in the review triggering process
- Develop the annual calendar for the performance management and promotion cycles
- Draft communications to the case leadership team regarding key activities and deadlines
- Establish structures to ensure individual underperforming employees are receiving appropriate communications and touchpoints throughout the performance management process
Promotions support
- Collaborate with various Promotion Committees and corresponding Program Manager across bi-annual Associate Consultant and Consultant promotion process & Senior Manager promotion process
- Coordinate all logistics for promotion processes including scheduling meetings and communication with stakeholders
- Support diligence process including assignment of Guardians, collection of input data, preparation of diligence candidate packs and materials for committee meetings, and drafting messaging to candidates
- Take notes and track feedback and next steps during promotion meetings
- Support the Senior Manager promotion process by owning the informal Upward Feedback process and integrate inputs into materials for committee review
- Track outstanding data inputs and escalate gaps, as required
Support planning and execution of on-going staffing-driven and people-focused meetings
- Coordinate directly with the members of the Program Management teams to prepare for and facilitate the regularly occurring affinity group meetings, office head meetings, and other Leadership Team meetings
- Coordinate with PM team on to manage attendance and scheduling of various pulse checks, case debriefs, and ring of support meetings
- Work with Program Managers to establish priorities, arrange for required content, and maintain an eye on continuous improvement of the meeting format and content
- Support preparation of bi-annual "People Meeting" materials
Systems, reporting, and analytics support
- Serve as administrator and team point of contact for BOSS (resource management tool) and Trellis (internal performance management system)
- Conduct regular audits to ensure BOSS and Trellis data integrity
- Perform data entry and maintenance in BOSS and Trellis including, but not limited to, ensuring case reviews are released in a timely manner and adjusting employee points of contact based on career progression
- Partner with Program Management team on survey and data requests needed to support talent initiatives
- Run ad hoc reports and conduct analyses as requested by Program Management team
- Monitor and track CTSU and employee hours report results and trends and provide weekly updates and analysis to Program Management and HR team as relevant, helping to ensure support and attention are directed to teams appropriately
- Prepare slides/data for ad-hoc meetings, such as office-wide townhall meetings
- Update and audit various internal trackers
- Use AI tools and resources to continuously improve and elevate internal data tracking and processes
PreXCT & Ongoing training support
- Collaborate with cross-functional teams and senior stakeholders to ensure high quality training program
- Coordinate logistics and serve as primary point of contact for new hire Consulting staff training (Pre-XCT) including scheduling training sessions, finding trainers, managing calendar invites, Boardroom reservations, laptops, and ordering food
- Design, initiate, and analyze post training surveys to assess continuous improvement opportunities; in collaboration with supervisor and other broad stakeholders, plan and execute changes to program
- Manage calendar invites and room reservations for Chicago office training sessions
- Support colleague program design and execution, including colleague resources and matching assignments
- Partner with Program Management to identify and secure global trainers, ensuring quality, availability, and alignment with program needs across regions
- Support cohort leadership (Champions and Captains) in the execution of class meetings by managing a curated content repository, tracking meeting cadence, and proactively prompting preparation to ensure consistent, high-quality delivery
Additional support
- Support ad hoc people priorities or special projects, as outlined with Program Management or Human Resources team
- Support teammates and local teams during periods of peak workload or coverage needs
- Contribute to local office connectedness and people-focused initiatives and activities
- Manage and maintain various sections of the Chicago office SharePoint, ensuring content is remains accurate and relevant to local employee
ABOUT YOU
- Bachelor’s degree is required
- Minimum of 4 years professional experience in operational roles
- Strong customer service, organization, interpersonal and communication skills
- Ability to deal with highly confidential information appropriately
- Ability to prioritize, meet deadlines, and juggle multiple tasks simultaneously
- Meticulous attention to detail necessary
- Strong proficiency with Microsoft Excel for basic analysis and tracking purposes
- Proficiency with Microsoft PowerPoint for basic slide design and presentations
- Excellent interpersonal, communication (written and verbal) and project management skills
This role follows a hybrid model, requiring in-office presence at least 3 days per week with limited travel as needed.
U.S. Compensation Information
Compensation for this role includes base salary, annual discretionary performance bonus, 401(k) plan with an annual employer contribution based on years of service and Bain’s best in class benefits package (details listed below).
Some local governments in the United States require a good-faith, reasonable salary range to be included in job postings for open roles. The estimated annualized compensation for this role is as follows:
- In Illinois, the good-faith, reasonable annualized full-time salary range for this role is between $70,500 - $84,500
Placement within this range will vary based on several factors including, but not limited to experience, education, licensure/certifications, training and skill level
- Annual discretionary performance bonus
- This role may also be eligible for other elements of discretionary compensation
- 4.5% 401(k) company contribution, which increases after 3 years of service and is 100% vested upon start date
