WHO YOU’LL WORK WITH
You will join our Office Services team in Munich, a collaborative, service-oriented team of highly accomplished professionals that plays an integral role in delivering an exceptional experience for clients, visitors, and Bain colleagues each day. The team holds responsibility for facility management, events and catering, and the end-to-end coordination of all office-related services.
Office Services partners work closely with stakeholders across all functions across Germany and Austria including consulting teams, Executive Assistants, IT, Recruiting to enable seamless day-to-day operations and sustain a welcoming, professional office environment.
In this role, you will engage with colleagues at all levels of the organization and contribute to the high-performance, people-first culture that defines Bain.
WHAT YOU’LL DO
- Representing the company at the front desk, performing general front-desk duties, ensuring the smooth operation of all front-desk facilities, and providing excellent customer service to external clients and visitors as well as Bain colleagues
- Meet and Greet client and visitors to Bain and direct accordingly, ensuring relevant Bain host informed of arrival
- Handling all incoming phone calls in both German and English in a friendly and professional manner, ensuring correct protocol for all types of calls and directing accordingly
- Monitoring the security system with computer-controlled access permissions, including data entry and management of access cards in accordance with applicable security standards
- Managing and coordinating conference room bookings with particular attention to catering requests, liaising with the catering team where needed, supporting the conference team during busy periods
- Coordinating mail and courier services with external service providers, as well as assisting with other mail and printing orders
- Supporting operations in our in-house cafeteria
- Assisting with the planning of internal events
- Coordinating business relationships with external service providers in collaboration with the facility management team
ABOUT YOU
- Successfully completed vocational training in a commercial/business-related field or in hospitality
- At least 3 years of professional experience in a comparable environment
- Excellent written and spoken German and English skills
- Strong organizational skills, resilience, and flexibility
- Enjoyment of working collaboratively in a team environment
- A structured, independent, and responsible way of working
- Excellent communication skills and a service-oriented personality with impeccable manners and the ability to remain calm under pressure
- Proficient in MS Office applications
