Position Summary (Please note that this is a two-year fixed-term contract position.)

We are seeking a highly skilled and professional Executive Assistant to provide comprehensive administrative support to 3–5 senior leaders. This role requires exceptional organizational abilities, attention to detail, and strong communication skills to ensure seamless operations and professional representation of our leadership team. 

The Executive Assistant will manage complex calendars, coordinate international and domestic travel, and oversee time and expense reporting. Working in close partnership with another EA, you will play a key role in delivering outstanding support and ensuring consistent coverage for Bain’s executive leadership. 

Key Responsibilities 

• Calendar & Meeting Management: Proactively manage and prioritize dynamic, complex schedules, adapting quickly to shifting priorities and client needs. 

• Travel Coordination: Organize and oversee detailed international and domestic travel arrangements, including visa processing and documentation, while anticipating potential issues in advance. 

• Relationship Management: Foster and maintain strong internal and external relationships, supporting Partner networks and client engagement initiatives. 

• Case & Team Support: Understand Partner priorities and act as a reliable liaison for case teams and practice area members. 

• Operational & Technical Support: Coordinate meetings, events, and logistics while preparing professional materials and presentations using Microsoft Office 

applications. 

• Expense & Time Reporting: Accurately prepare and process time and expense reports, including multi-currency reconciliations, with efficiency and precision. 

• Maintain leadership’s contact database in Outlook and Cortex database: Ensure contacts are resolved and classified appropriately in Cortex. Coordinate Manager’s electronic/print mailings and event activity. 

• Provide back up support for other EA/MAs as needed 

Qualifications 

• Bachelor’s degree or equivalent combination of education, training, and experience. 

• 5–6 years of experience as an Executive or Personal Assistant, preferably in a fast-paced, senior-level support environment. 

• Strong English communication skills for professional business contexts. 

• Excellent written and verbal communication skills, with the ability to represent leadership professionally and effectively. 

• Strong organizational skills with meticulous attention to detail. 

• Proven ability to manage multiple priorities, meet deadlines, and handle confidential information with discretion. 

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required.
