WHO YOU WILL WORK WITH

You will, as the successful candidate in this position, be responsible for the timely calculation, processing, and distribution of Canadian payrolls, including executing payroll changes, manual entries, pro-rated payments, tax computation, and benefit deductions. This individual will be expected to provide comprehensive customer service to employees at all levels and ensure compliance with all internal policies and procedures.

WHAT YOU’LL DO

Transactional/ Processing – 70%

  • You will execute Canadian semi-monthly and monthly payroll runs, responsible for adjustments for approval and entry. This includes managing employee status changes, benefit deductions, taxable fringe benefits, loan collections, leaves of absence, new hires, transfers, terminations, and other payroll-related entries.
  • You will contribute to year-end preparations by conducting audits, processing necessary adjustments, and ensuring the balance of tax forms.
  • You will audit input entered by regional and global HR in the Workday Payroll/HCM software, initiating communication and making corrections as required.
  • You will ensure meticulous processing of transactions in adherence to internal policies, procedures, and government agency regulations.
  • You will process and submit all Records of Employment to Service Canada each pay period.
  • You will cultivate specialized expertise in tax issues, payroll reporting, Workday and ADP software, and other payroll and accounting systems through active participation in job training and seminars. 
  • You will engage proactively in team projects. 
  • You will perform other duties and special projects as assigned or as responsibilities

 Documentation / Process – 20%

  • You will maintain the documentation flow for payroll changes, with clear communication with internal departments to ensure the accuracy and timeliness of payroll adjustments.
  • You will oversee the updating of all Canadian Payroll Processing documents and Standard Operating Procedures (SOPs).
  • You will ensure proper documentation and record-keeping practices, ensuring transactions align with internal policies, procedures, and relevant regulatory requirements.
  • You will assist in identifying risks and implementing new controls as needed.


Provide Excellent Customer Service – 10%

  • You will serve as an outstanding customer service representative for the organization, addressing inquiries from internal and external customers.
  • You will uphold a consistently high level of professionalism, whether working within the office or remotely.
  • You will respond promptly to employee inquiries concerning pay calculations, taxes, deductions, and benefits.

ABOUT YOU

A Bachelor's degree or a degree in business related function (degree in accounting or finance is preferred), along with 1-3 years of progressive Canadian payroll experience or equivalent, and completion of National Payroll Institute PCP certification (or working towards it) is required. 

  • Experience with payroll processing systems (e.g., Workday Payroll, ADP Workforce Now, ADP Reporting, ADP GLI).
  • Knowledge of Canadian Year-end processes and reporting requirements
  • Attention to detail and strong analytical skills 
  • Ability to handle highly confidential information in a professional manner
  • Ability to train and be trained effectively, even in a remote environment
  • Ability to work productively both independently, as a self-starter, and as an integral member of the payroll team
  • Working knowledge of MS Office suite MS Teams. Proficient with Excel workbooks, reports, and analyzing data
  • Strong interpersonal and communication skills
  • English language fluency (both written and oral)
  • Flexible and adaptable to change
  • Ability to effectively prioritize tasks in a fast-paced, change-oriented environment.

 

Experience with Workday is an asset and experience with ADP Workforce Now or similar payroll product is preferred. 

Also, interpersonal and collaborative skills, ability to communicate and interact effectively with personnel at all levels throughout the organization. And an ability to take a leadership role to work collaboratively in a team environment through continued training and process enhancements is highly desired.
