WHO YOU’LL WORK WITH
You’ll work with the broader Chicago Human Resources and Program Management teams, as well as local operations teams. With guidance from your supervisor, you’ll also work with regional centers of excellence, including HR Operations, Benefits, and Immigration.
WHERE YOU’LL FIT WITHIN THE TEAM
As the Coordinator, Human Resources in our Chicago office, you’ll serve as the primary point of contact for assigned employee cohorts and provide general HR and administrative support for our consulting and business function populations. Strong customer service, attention to detail, organization, and thoughtful written and verbal communication are essential to the role.
WHAT YOU’LL DO
Cohort-specific responsibilities
- You’ll currently support first-year Associate Consultants and select populations of functional professionals.
- Serve as a primary point of contact for assigned cohorts, providing guidance on policies, options, timelines, and next steps, and escalating more complex matters as appropriate
- Partner closely with Program Management and supervisor to support aspects of performance management including first cycle review and coordination of process logistics
- Support compensation and tenure processes for assigned populations, including regular data review/audits, bonus calculations, and employee inquiries, with oversight from supervisor; coordinate with the regional Compensation team as appropriate
- Execute departure and transition processes including employee consultations and exit interviews
Operational responsibilities
You’ll own HR administrative tasks that support core programs across the employee lifecycle, including transfers, externships, leaves of absence, and other employee movement activities, working closely with the HR Operations center of excellence.
- Maintain accurate employee data and documentation in Workday and other internal systems and trackers; run reports and audit data to ensure accuracy
- Coordinate new hire pre-start communications and onboarding logistics for all Chicago employees, liaising with supervisors and other relevant stakeholders to ensure a positive Day 1 and smooth introduction to Bain
- Assist with I-9 records management and compliance with support from supervisor; ensure accurate and timely completion of I-9 and E-Verify requirements for new hires/rehires; assist with visa/immigration updates as needed
- Execute agreements and memos for HR programs across the employee lifecycle and coordinate with the HR Operations team for all necessary entries in Workday
- Execute offboarding processes including generating and tracking departure documentation and coordinating with internal stakeholders
- Monitor and respond to inquiries in the Chicago HR inbox, flagging to teammates as needed
- Oversee welcome gift and anniversary awards processes with limited support from supervisor; collaborate with People Analytics to calculate service anniversary dates; coordinate ordering, communications, and distribution of gifts
- Assist with HR data and reporting requests from local teams as appropriate
Additional responsibilities
- Collaborate with cross-functional teams (e.g., Office Services, Recruiting, Benefits, Immigration & Mobility, and HR Operations) to ensure accurate, timely, and consistent execution of HR activities
- Support team process improvement efforts and special projects as assigned or as opportunities arise
- Support teammates and local teams during periods of peak workload or coverage needs
- Contribute to office connectedness and people-focused initiatives and activities
ABOUT YOU
- 2-3 years of professional experience, ideally within a professional services or fast-paced, client-focused environment
- Meticulous attention to detail required
- Proven critical thinking and problem-solving skills
- Ability to prioritize, meet deadlines and juggle multiple tasks simultaneously
- Strong customer service, organizational, interpersonal and communication skills
- Exemplary professionalism, acts as a role model of Bain’s operating principles
- Ability to handle sensitive and confidential information with discretion, professionalism, and integrity
- Ability to work independently as needed
- Continuous improvement mindset and willingness to learn and evolve
Preferred qualifications
- Bachelor’s degree preferred or an equivalent combination of education, training and/or relevant experience
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; experience with Workday or similar HRIS platforms is a plus
Working model: This role follows a hybrid model, requiring in-office presence at least 3 days per week.
U.S. COMPENSATION INFORMATION
Compensation for this role includes base salary, annual discretionary performance bonus, 401(k) plan with an annual employer contribution based on years of service and Bain’s best in class benefits package (details listed below).
Some local governments in the United States require a good-faith, reasonable salary range to be included in job postings for open roles. The estimated annualized compensation for this role is as follows:
- In Illinois, the good-faith, reasonable annualized full-time salary range for this role is between $58,000 - $69,750. Placement within this range will vary based on several factors including, but not limited to experience, education, licensure/certifications, training and skill level.
- Annual discretionary performance bonus
- This role may also be eligible for other elements of discretionary compensation
- 4.5% 401(k) company contribution, which increases after 3 years of service and is 100% vested upon start date
