Responsibilities
The HR Senior Specialist needs to represent high standards in several areas of Bain Human Resources Operations.
Role objective
• Manage Lisbon office employee relations: serve as the point of contact for Lisbon GC office employees on employment law and company policies; provide guidance on disciplinaries, concerns, performance management, and absence management; lead monthly personnel file audits with support from the broader HR team
• Own local HR operations for the Portugal team: administration, mobility, immigration, onboarding, and local trainings
• To provide full support to the HR Team with projects and other initiatives as required and help in other HR/PD areas as necessary. To be able to step in when required in areas of absence for the HR Manager, when she/he is out of the office
• To provide a comprehensive, proactive and focused HR service
• Support Iberia staffing and PD, acting as the local point of contact for staffing and PD matters and ensuring proximity to the Lisbon general consulting population
Responsibilities
Mobility
• Manage the visa process for all new joiners, transfers and visa extensions
• Main point of contact for any visa issues/queries for current employees, transfers and new starters
• Provide advice to the PD/Staffing Manager and employees on any visa questions for consultants travelling overseas for client work
• Work with the Mobility third party for all the different requests
• Ensure the information in HR systems e.g. Workday is accurate
Office meeting
• Monthly office meeting HR document preparations
• Service awards information
Support HR teams in ad hoc projects as required
• Implementation of new or modified policies
• Data protection procedures
Employee relations
• To provide advice to employees on aspects of employment law and company policy, specifically; Maternity Leave, Paternity Leave, Parental Leave, flexible working, leave of absence’s and externship.
• To assist the HR Manager and help provide guidance with issues including disciplinaries, grievances, performance management and absence management
• Lead/initiates carrying out employee data audits monthly on personnel files
• To ensure the company policy handbook is up to date with any Employment Law changes, and identify areas of improvement to the HR Manager
• Maintain knowledge of local legislation changes
• Support HRM with any policy updates
• Support HRM with preparation of review meetings from HR perspective to ensure fair approach
Training
• Liaise with Global teams on Global Training
• Organize Pre-ACT/NCT, CLP and other local/regional Consulting and Business Function trainings (calendar, participants, performance needs, etc)
• Responsible for finding replacements in cases where a trainer is unable to attend their session
• Responsible for collecting team feedback on each training session conducted in Iberia
• New Hires training
• Onboarding of new hires before their start date
Administration
• Onboarding and offboarding of the employees
• Ensure Workday is up to date e.g. pending Maternity, Paternity leave, Departure, timesheets & vacations requests etc.
• Good working knowledge of Workday
• Background check – coordination with recruiting and HRM
Additional activities
• Support other areas of the HR/PD department whenever there is a business need
• Lisbon SharePoint update
• First Aid and Fire ward guardian (certificate compliance with local law)
• Onboarding – set up doctor appointment
• Departures – coordination with Finance and employee (pending vacation days, sending out departure checklist, assure voluntary leave documentation)
