Scheduling your interviews

What you need to know before selecting your interview date and time.

  • When will interviews be held?

    We expect to hold most interviews for our US & Canada offices during the weeks of January 5th & January 12th, 2026. For our EMEA, APAC, and LATAM offices, interview timing will vary; please connect directly with your office recruiter to confirm details.

  • Which offices are interviewing students in person?

    Our US & Canada offices look forward to meeting you in-person in January! Depending on your interviewing office, you may interview in a centralized location (e.g., Chicago or New York) or your interviewing office may elect to bring you into their office. If you are interviewing for an EMEA, APAC, or LATAM office you could interview live or virtually – more details will be communicated when booking your interview.

  • How will I know where I will be interviewed?

    Your interviewing office will confirm your interview location. This could be in the interviewing office, within a different Bain office, or on campus. For some of our EMEA, APAC, and LATAM offices interviews may also be conducted virtually.

  • How do I schedule my interview?

    For candidates invited to interview, we will send scheduling details and instructions after the US Thanksgiving holiday.

  • Do I need to be in a specific city for my interview?

    For candidates interviewing for our US and Canada offices, you should plan to be in the US the week of January 5th, as most interviews for our US & Canada offices will be in person that week. Bain will cover domestic travel from your campus city to your interview location.

  • What happens if I have a conflict with the available interview dates?

    If you’re offered one interview date and have a conflict, our offices will provide at least one alternative option (which may be virtual). If multiple dates are offered, please select from those provided. While additional accommodations aren’t guaranteed, we encourage you to prioritize the times offered so we can meet you as planned.

Booking your transportation

How to plan your travel for interview day.

  • I’m studying abroad during January, should I travel back to the US for my interview?

    Please reach out to your office recruiter directly to discuss the best plan, which will likely be a virtual interview – interviewing virtually will not impact your candidacy.

  • How do I book my travel?

    If you are invited to interview, our recruiting team will share more guidance on how to book your transportation and hotel, if needed, via our travel booking system, Bain Travel Online (BTO).

  • Can I use my preferred airline for flights?

    Yes! You can choose your preferred airline if the fare is comparable to the lowest standard economy options available in Bain Travel Online (BTO).

  • What do I need to bring for my flight?

    Please make sure you have all the required documentation for air travel. For example, many airports now require a REAL ID, so if you haven’t acquired the necessary documentation, ensure you leave enough time to complete this before January.

  • Can I book a train for my interview?

    Yes! You will be able to book a train in Bain Travel Online (BTO) if that’s your preferred method of travel – you can pay with your credit card and will be reimbursed for the expense (see more details on reimbursements below). If a train is not available on BTO (NJ Transit, Metro North, local public transportation, etc.), please book through the appropriate site on your own and save your receipt for reimbursement. In some cases, we will expect train travel instead of a flight; this will be communicated to you directly when booking details are provided.

  • Can I take a bus to the interview, even if it’s not available on BTO (e.g., Dartmouth Coach)?

    Yes, please book it on the necessary site and provide your receipt for reimbursement.

  • Can I rent a car to drive to my interview?

    No, Bain will not reimburse for car rentals, and you will not be able to select a rental car through Bain Travel Online (BTO).

  • If I’m interviewing in a nearby office, can I drive my own car?

    Yes – we will reimburse for parking, mileage and gas with receipts.

  • Can I book a hotel room?

    We’ve arranged hotel accommodations where needed and will book your room if it’s required for your interview. If approved for a hotel stay, you’ll indicate this in Bain Travel Online (BTO). Bain will cover the room cost directly – you’ll just need to provide a credit card for incidentals (a credit card is preferred over debit to avoid extra holds or fees).

Getting reimbursed

How to handle expenses and get reimbursed smoothly.

  • What expenses are covered?

    We are pleased to cover the necessary transportation to and from your interview (e.g., flight, train, Ubers); meals when you are required to travel outside of your campus city, and a hotel if reasonable same-day travel isn’t possible.

    Note: We will only cover expenses directly related to your interview – any personal expenses incurred while you travel (e.g., Ubering to meet a friend) will be your responsibility.

  • What is not covered?

    To help keep the process consistent for everyone, we’re not able to cover international flights, equivalent domestic transportation that costs more than standard travel from your campus to your interview location, hotel stays when same-day travel is possible, or personal expenses such as minibar charges or luxury car services (e.g., Uber Black).

  • Can I arrive earlier or stay later if I pay for the extra night(s) of accommodation myself?

    We know in-person interviews can be an exciting opportunity to explore the city in which you may spend your summer. If the cost of travel (e.g., airfare, train ticket) is less than or equal to the cost of travel needed for your interview, you are welcome to book that fare. Bain will not cover alternative travel costs that are more expensive than the original fare. If you chose to arrive early or stay after your interview, any personal activities, expenses, or arrangements outside of your necessary interview travel schedule – including any extended stay, leisure activities, or personal travel – are undertaken at your own risk and responsibility. Bain is not responsible for, and disclaims all liability for, any injury, loss, damage, or incident that occurs during such personal time or as a result of travel extensions made at your request.

  • How do I submit expenses?

    We use a system called Reimbi for expenses. If you are invited to interview, our recruiting team will share more guidance on how to create a profile and submit expenses via Reimbi. Please keep all receipts.

  • I lost a receipt, what do I do?

    Not a problem – please provide credit card statements, which will be reviewed by Recruiting & Finance.
